Who we are

MCINNES GROUP LIMITED (referred to as "we", "us", or "our") is a renewable energy installer registered in Scotland, company number SC418351, with its registered office at Unit 3, 43A Harbour Road, Inverness, IV1 1UF, United Kingdom. We are the data controller for any personal data you provide through this website. If you have any question about how we handle your data, contact us at info@mcinnesgroup.co.uk.

What data we collect

When you contact us via this website, we collect:

  • · Name, phone number, email address (where provided)
  • · Postcode and property information for survey scheduling
  • · The contents of any message you send
  • · Technical information automatically collected by our hosting (Cloudflare): IP address, browser type, pages visited, referring URL. This is used for security and aggregate analytics.

Lawful basis for processing

We process your data under one or more of the following lawful bases set out in UK GDPR Article 6:

  • · Consent: where you have actively given us permission (e.g. by submitting an enquiry form).
  • · Contract: where processing is necessary to fulfil a contract with you (e.g. delivering an install you have commissioned).
  • · Legitimate interests: for ordinary business operations such as responding to enquiries and managing customer records, balanced against your rights.
  • · Legal obligation: where we are required to retain records by law (e.g. tax records, MCS audit trail).

How we use your data

  • · Responding to enquiries and arranging surveys
  • · Preparing and issuing quotes
  • · Carrying out installations you have commissioned and providing aftercare
  • · Registering the MCS certificate for your installation, and preparing the technical documents you need for grant or scheme applications you make yourself
  • · Complying with our legal and regulatory obligations
  • · Measuring whether our advertising works — including reporting back to advertising platforms when an enquiry went on to become real work (see Advertising and measurement below)

We do not sell your data to third parties, and we do not use your data for unsolicited marketing.

Who we share data with

We share data where necessary to deliver our service, and with the advertising platforms described in the next section:

  • · Equipment manufacturers (e.g. Vaillant, Fox ESS, Tesla) for warranty registration on your installed system
  • · MCS, Ofgem, Home Energy Scotland, Energy Saving Trust and similar bodies for scheme applications and audits
  • · Your energy supplier for Smart Export Guarantee registration
  • · Our DPO, accountants, and legal advisers where required
  • · Law enforcement or regulators where we are legally required to disclose
  • · Meta (Facebook and Instagram) and Google, in the limited and scrambled form described under Advertising and measurement below

Advertising and measurement

We advertise on Meta (Facebook and Instagram) and Google. To know which adverts lead to real work rather than just clicks, we share a small amount of information back with those platforms:

  • · When you submit an enquiry — that an enquiry happened, which technology it was about, and your email address and phone number in hashed form. Hashing scrambles them into a fixed code before they leave our systems, so a platform can recognise one of its own account holders without us handing over your actual contact details.
  • · If that enquiry becomes work — the stage it reached (for example survey booked, quote accepted, or a completed installation) and the value of the job, matched only on that same hashed form.

We never send the contents of your message, your address, or your contact details in readable form. Hashing is not the same as anonymising, so we continue to treat this as your personal data. Our lawful basis is legitimate interests — understanding whether our advertising is paying for itself — balanced against your rights.

You can object to this at any time and we will exclude you from it. Email privacy@mcinnesgroup.co.uk and we will stop. Declining cookies on this website switches off the tracking that runs in your browser, but the measurement described here happens on our own servers, so if you want to opt out of that as well, please tell us.

How long we keep your data

We retain enquiry data for up to 24 months from your last contact, unless you become a customer. Customer records (quotes, contracts, install certificates, warranty documents, MCS audit data, accounting records) are retained for at least 7 years from the end of the relationship — some scheme regulators require longer retention.

Your rights

Under UK GDPR, you have the right to:

  • · Erase your data (subject to legal retention requirements)
  • · Restrict or object to processing
  • · Data portability
  • · Withdraw consent at any time

Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be communicated to active customers directly.
